Summary of Position:

The Production Manager serves as the primary bridge between the office and the fabrication shop. This role works closely with Project Managers, Technical Designers, and the Shop Foreman to coordinate production schedules, prepare projects for fabrication, monitor progress, and ensure project deadlines are maintained.

The Production Manager is responsible for determining what needs to be produced and when, while the Shop Foreman is responsible for assigning and supervising the shop staff completing the work.

Job Responsibilities:

Production Scheduling & Timeline Management

  • Maintaining the RFP tracking sheet and proposal deadlines.
  • Manage the shop’s Google Calendar by entering and maintaining time blocks for technical design, construction, paint and scenic work, graphics, quality control, packing, delivery, installation, and strike.
  • Maintain the physical shop job board using magnetic project tiles to provide a clear visual representation of project status, production stages, priorities, and deadlines.
  • Coordinate with Project Managers to confirm production milestones, delivery dates, installation dates, and other critical deadlines.
  • Determine the order and priority of build items across multiple active projects.
  • Identify scheduling conflicts and recommend adjustments based on deadlines, project readiness, shop capacity, and available resources.
  • Communicate changes in production priorities or timelines to the Shop Foreman and affected project teams.

Project Readiness and Shop Hand Off

  • Confirm that projects and individual build items are ready to enter production.
  • Verify that approved drawings, specifications, finish information, client decisions, and other required project information are available.
  • Confirm that necessary materials, hardware, rentals, and subcontracted services have been identified and are scheduled to arrive when needed.
  • Identify missing information, materials, approvals, or decisions that could delay production.
  • Schedule and facilitate production kickoff meetings before major projects or build phases begin.
  • Ensure the Shop Foreman and build team understand the project scope, priorities, deadlines, and key production requirements.
  • Confirm that revisions and project changes are communicated to all affected team members.
  • Facilitating project postmortems.

Installation Coordination

  • Maintain visibility into upcoming deliveries, installations, and strikes.
  • Coordinate with Project Managers and the Shop Foreman to confirm installation schedules, onsite requirements, and production completion deadlines.
  • Ensure projects are completed with sufficient time for final review, packing, loading, and transportation.
  • Confirm that installation drawings, hardware, tools, equipment, and project information are prepared before departure.
  • Communicate changes involving site access, installation dates, call times, or client requirements to affected teams.
  • Support the resolution of production-related issues that arise during installation.

Resource & Capacity Planning

  • Maintain visibility into shop capacity, including available workspace, equipment, staffing, and overlapping project demands.
  • Provide the Shop Foreman with advance notice of upcoming shop production and onsite labor requirements.
  • Coordinate with the Shop Foreman to identify anticipated overtime, weekend work, staffing shortages, or additional labor needs.
  • Identify conflicts involving shared shop space, equipment, materials, or production resources.
  • Recommend when outside labor, subcontractors, or additional production resources may be required.
  • Help balance project needs across the shop while leaving daily employee assignments and supervision to the Shop Foreman.
  • Archiving completed project folders and production documentation.

Qualifications:

  • Experience in production management, project coordination, fabrication management, construction management, or a related role.
  • Experience in custom fabrication, scenic fabrication, experiential production, events, or another deadline-driven project environment is preferred.
  • Strong understanding of fabrication workflows, production sequencing, and installation requirements.
  • Ability to read and interpret drawings, specifications, scopes of work, and project schedules.
  • Strong scheduling, organizational, communication, and problem-solving skills.
  • Ability to work collaboratively across project management, design, production, shop operations, and accounting.
  • Ability to manage multiple projects and competing deadlines simultaneously.
  • Proficiency with Google Calendar, spreadsheets, project-management tools, and production-tracking systems.
  • Strong attention to detail and consistent follow-through.
  • Strong leadership experience.
