At Lopez Law Group, we are committed to providing top-tier legal services with a focus on integrity, professionalism, and client empowerment. Based in St. Petersburg, Florida, our team is dedicated to delivering exceptional and affordable legal solutions to individuals and families facing a wide range of legal challenges. We take pride in offering comprehensive support and personalized guidance to help our clients navigate even the most complex matters with confidence.

We are building a law firm that operates with strong systems, clear expectations, and team members who take pride in their work and ownership of their responsibilities.

With that being said, we are looking for a Legal Assistant who will serve as a central administrative support role within the firm.

This role assists attorneys, paralegals, and operational leadership by ensuring administrative tasks, client communication coordination, scheduling, and case documentation are handled with precision and discipline.

The Legal Assistant plays a critical role in maintaining organization across the firm and helping ensure that communication, documentation, and workflow tasks are executed reliably.

While this role is administrative in nature, it requires a high level of professionalism, attention to detail, and proactive thinking. The right candidate understands that strong administrative execution directly impacts the quality of legal service delivered to clients.

What You’ll Do:

Client Communication & Coordination:

  • Monitor incoming client communications and ensure inquiries are acknowledged and routed to the appropriate attorney or paralegal.
  • Assist with scheduling consultations, client meetings, hearings, and internal case discussions.
  • Help maintain proactive client communication by coordinating updates and ensuring clients are not left waiting for responses.
  • Support attorneys and paralegals by gathering client documents and information necessary for case progress.

Administrative Case Support:

  • Assist attorneys and paralegals with administrative tasks related to case preparation and case management.
  • Prepare and organize documents for signatures, client delivery, and internal review.
  • Coordinate document collection from clients and maintain accurate case file records.
  • Ensure administrative components of case workflows are completed accurately and on time.

File Management & Documentation:

  • Maintain organized digital case files in accordance with firm file structure and naming standards.
  • Ensure documents are properly saved, labeled, and accessible within the firm’s document management systems.
  • Assist with new matter setup, including ensuring correct client information and documentation are entered into firm systems.
  • Log communications, case updates, and administrative activities within the firm’s case management platform.

Scheduling & Calendar Management:

  • Coordinate attorney and legal team calendars to schedule meetings, consultations, hearings, and internal case discussions.
  • Ensure attorneys and staff have the correct documents and materials prepared for scheduled meetings.
  • Help manage scheduling conflicts and ensure client appointments are handled professionally.

Operational Support:

  • Assist the firm’s operational leadership in maintaining administrative workflows and task coordination.
  • Help track administrative tasks and ensure follow-ups are completed in a timely manner.
  • Identify administrative gaps or workflow issues and communicate them so they can be addressed quickly.

What We’re Looking For:

Experience:

  • 2+ years of experience working as a Legal Assistant, Administrative Assistant, or similar, in a law firm environment highly preferred (but not required).

  • Experience working within legal case management systems such as PracticePanther or similar and Lead Docket or similar, with the ability to manage tasks, deadlines, and case information accurately is highly preferred.

Organization & Attention to Detail:

  • Exceptional organizational skills and strong attention to detail.

  • Previous experience either managing administrative responsibilities across multiple cases and tasks without losing accuracy, or if not legal cases, similar.

Ownership Mentality:

  • A self-starter who takes responsibility for their work and does not require constant direction.

  • Someone who takes pride in maintaining organization, accuracy, and professionalism in everything they handle.

Communication Skills:

  • Clear and professional written and verbal communication.

  • Experience in interacting with clients, attorneys, and team members while maintaining professionalism under pressure.

Analytical Thinking:

  • Strong ability to review items and materials placed before you, identify important facts, and ensure documentation is accurate and complete.

Professional Discipline:

  • Calm, focused, and reliable under pressure, with a commitment to producing high-quality support in a legal environment.

Why You Should Work Here:

  • Comprehensive Benefits: Enjoy health insurance, 401(k) matching up to 4%, three weeks of PTO annually, and more.

  • Ownership and Responsibility: We trust our team members to take ownership of their work. As a Legal Assistant, you will have the autonomy to manage case files, maintain deadlines, and contribute meaningfully to the success of the legal team.

  • A Professional, Growth-Oriented Environment: Join a firm that values professionalism, accountability, and continuous improvement. You will work alongside experienced attorneys in an environment that encourages strong work ethic, skill development, and pride in producing high-quality legal work.

  • Meaningful Legal Work: At Lopez Law Group, your work directly impacts real cases and real clients. You will play an active role in supporting the management of legal files, communicating with clients and across the internal staff, alike, and helping the team move cases forward with precision and discipline.

Joining The Lopez Law Group means becoming part of a firm that values professionalism, accountability, and disciplined execution. As a Legal Assistant, you will play a key role in supporting the team’s ability to deliver organized, responsive, and high-quality legal service to every client we serve.

This is an opportunity to build a long-term career in a growing law firm where strong administrative execution and professional ownership truly matter.
