What you’ll do:

Our administrative team exists to remove friction from the everyday work environment. When our offices run smoothly, everyone else can focus on building, designing, and problem-solving without getting bogged down by operational details.

We’re looking for someone to help manage our daily office operations and maintain a welcoming space for both local team members and visitors. You’ll have direct ownership over the day-to-day office environment, making sure common spaces function well and our people have the tools and supplies they need. Working closely with local colleagues, external service providers, and administrative teammates across JetBrains, you’ll help ensure our space reflects our high standards of quality and care.

Day-to-day, you will:

Keep office spaces, meeting rooms, and common areas organized and ready for daily use.
Welcome guests and provide support throughout their visit.
Manage stock, order office supplies, and coordinate food, drinks, and equipment.
Assist with logistics for meetings, conference calls, and internal events.
Act as a reliable point of contact for employee questions about office operations.
Partner with external vendors, service providers, and local authorities.
Support smooth onboarding and offboarding experiences for team members.
Step in to support other administrative team duties when colleagues are away.

What you’ll need:

Experience in office management, facility support, hospitality, or a similar operations role.
The proven ability to manage vendors, track administrative requests, and coordinate operational logistics.
Professional proficiency in both written and spoken Polish and English.
Practical knowledge of Microsoft Office and Google Workspace.

You’ll build strong working relationships with key suppliers and internal teams, taking clear ownership of your tasks and making practical improvements to our office processes along the way.
